Automations and New Text Actions (+)
Along with Task reminders, Outbound Texts, and Contact Updates, you can quickly and easily create New Texts within Automations manually or with a pre-canned Template.
Step 1
You can open an existing Automation by clicking on its "Title" or the blue "New Automation" button at the top right of the Automation page to start a New Automation.
Step 2
If this is a new automation, click on the "Plus Sign" Icon in the middle of the page to Add an Action to it.
Step 3
Via the menu that slides out from the right, click on the blue "New Text" icon on the slide-out menu.
Step 4
Select the "Time Delay" to choose when you want the New Text to trigger within the Automation process after the previous Action is added.
Time Delay Options Include;
Immediately
10 minutes
30 minutes
1 hour
6 hours
12 hours
1 day
2 days
3 days
1 week
2 weeks
Custom Time Delay
Click "Custom Time Delay" to select a custom period of "Hours" or "Days" for the New Text to trigger after the previous Action is added.
Be sure to click the bubble on "Hours" or "Days" to set the correct timing for the action.
Type in the amount of "Hours" or "Days" into the field, or use the up and down arrows on the right side of the amount field to select "Hours" or "Days."
*Note: The timing is based on the previous action added. For example, if you set an Automation Email going out the day before and want the next New Text to trigger two days after, you'd select "2 Days".
Step 5
Add the "Content," aka "Body" of information you want to share with the Contact receiving the Text.
Material
Click the blue and white "Material" button to access "My Materials List."
Use a keyword search or manually scroll to locate the material you want to insert.
Click the box to the left of the Material Name to select the Material to insert.
Click the blue "Insert" button at the bottom right of the Material pop-up or "Cancel" to abandon the action.
The inserted Material will appear as a link within the Outbound Automation Text.
Templates
If you have created any pre-made email or text templates in the Templates section of Settings, click the "Hamburger" icon (three horizontal lines) to insert the communication.
Use a keyword search or manually scroll to locate the Template you want to insert.
Click the Template Name to insert it into the New Text.
Emojis
Click the Emoji "Smiley face" icon to select Emoji to add to the New Text.
Red Recorder Button
You can record a video greeting or important information you want to share with the contact directly into an Automation.
Your Camera and Mic must be ON for this tool to work.
Token
Click the "Token" dropdown field to select different "en masse" actions, such as greeting the contact, reading the text, inserting your name and phone number, and much more.
For Example, by inserting "Contact First Name" in your salutation in the Text, the system will automatically place the Contact First Name from their Contact Record into the text for you.
"Hi {contact_first_name}!" is how you would see this within the New Text as you build it. The name will update when the Automation triggers.
Step 6
Click the blue "Insert" button at the bottom of the New Text Action to save the New Text to this Automation or click "Close" to abandon the New Text being added.
WARNING: Follow steps 6 and 7 to ensure the update is saved.
Step 7
If this is a new Automation, click the blue "Create" button.
Step 8
You will see a green notification stating "last saved" at the bottom right corner to confirm that the Automation has been updated.
