Automations and New Email Actions (+)
Along with Task reminders, Outbound Texts, and Contact Updates, you can create New Emails within Automations manually or with a pre-canned Template quickly and easily.
How to Add an Automation New Email Action (+)
Step 1
You can open an existing Automation by clicking on its "Title" or the blue "New Automation" button at the top right of the Automation page to start a New Automation.
Step 2
Click on the "Plus Sign" Icon in the middle of the page to Add an Action to the Automation.
Step 3
Via the menu that slides out from the right, click on the yellow "New Email" icon on the slide-out menu.
Step 4
Choose the "Time Delay" to choose when you want the New Email to trigger within the Automation process after the previous Action is added.
Time Delay Options Include;
Immediately
10 minutes
30 minutes
1 hour
6 hours
12 hours
1 day
2 days
3 days
1 week
2 weeks
Custom Time Delay
Click "Custom Time Delay" to select a custom period of "Hours" or "Days" for the New Email to trigger after the previous Action is added.
Be sure to click the bubble on "Hours" or "Days" to set the correct timing for the action.
Type in the amount of "Hours" or "Days" into the field, or use the up and down arrows on the right side of the amount field to select "Hours" or "Days."
Note: The timing is based on the previous action added. For example, if you set an Automation Email to go out the day before and want the next New Email to trigger two days after, you'd select "2 Days."
Step 5
Add a "Subject Line" for the recipient to see when they review their Email.
Step 6
Add the "Content," aka "Body" of information you want to share with the Contact receiving the email.

Good - Manually attach information to the New Email.
BETTER—We recommend that if it's an Image, PDF, or Video, you upload it to Materials and insert the media into the Automation so you can track the activity and analytics on Contacts who have viewed the Material media you have sent out.
PRO TIP: Be sure to set up "Viewed Material" Notifications via Settings so the system will let you know when a Contact has viewed an Image, PDF, or Video you have sent via Materials.
Font Size
Choose from Small, Normal, Large, and Huge.
Font Type
Choose from Sans Serif, Serif, Fixed Width, Wide, Narrow, Comic Sans MS, Garamond, Georgia, Tahoma, Trebuchet MS, or Verdana.

Good - Manually insert an Image into the New Email
BETTER - We recommend that you upload the image into Materials and insert the media into the Automation so you can track the activity and analytics of contacts who have viewed the Material media you sent out.
Calendar Icon
To insert Scheduler links you have created in the Scheduler, located within My Calendar, to prompt the Contact to book an appointment with you.
Calendly Sync
To insert a Calendly link if you use that for Contact appointments.
You MUST be synced with Calendly within Settings & Integrations for this to work.
Red Recorder Button
You can record a video greeting or essential information you want to share with the contact directly through Automation.
Additional New Email Tools
Material
Click the blue and white "Material" button to access "My Materials List."
Use a keyword search or manually scroll to locate the material you want to insert.
Click the box to the left of the Material Name to select the Material to insert.
Click the blue "Insert" button at the bottom right of the Material pop-up or "Cancel" to abandon the action.
Templates
If you have created any pre-made email or text templates in the Templates section of Settings, click the "Hamburger" icon (three horizontal lines) to insert the communication.
Use a keyword search or manually scroll to locate the Template you want to insert.
Click the Template Name to insert it into the New Email.
Emojis
Click the Emoji "Smiley face" icon to select Emoji to add to the New Email
Token
Click the "Token" dropdown field to select different "en masse" actions, such as greeting the Contact, reading the Email, inserting your name and phone number, and more.
For Example, by inserting "Contact First Name" in your salutation, the system will automatically insert the Contact's First Name from their Contact Record into your email.
"Hi {contact_first_name}!" is how you would see this within the New Email as you build it. The Contact name will update when the Automation triggers.
Step 7
Click the blue "Insert" button at the bottom of the New Email Action to save the New Email to this Automation or click "Close" to abandon the New Email being added.
Step 8
You will see a green notification stating "last saved" at the bottom right corner to confirm that the Automation has been updated.
