Automations and Edit Task Actions (+)
The "Edit Task" action helps automate task completion to trigger the next steps for follow-up.
*Note: An "Edit Task" Action can only be applied to a Task within the Automation. You can add the "Edit Task" Action if you have not previously added a "Task Complete" action.
Step 1
You can open an existing Automation by clicking on its "Title" or the blue "New Automation" button at the top right of the Automation page to start a New Automation.
Step 2
Click on the "Plus Sign" Icon in the middle of the page to Add an Action to the Automation.
*Note: You can only add the "Edit Task" action if you have not previously added a "Task Complete" action to the task you are editing.
Step 3
Via the menu that slides out from the right, click on the orange "Edit Task" icon at the top of the slide-out menu.
Step 4
After the previous Action is added, you can edit the "Time Delay" to set the time you want the Task to trigger within the Automation process.
Options include;
Immediately
10 minutes
30 minutes
1 hour
6 hours
12 hours
1 day
2 days
3 days
1 week
2 weeks
Custom Time Delay
Click "Custom Time Delay" to select a custom period of "Hours" or "Days" for the Task to trigger after the previous Action is added.
Be sure to click the bubble on "Hours" or "Days" to set the correct timing for the Task action.
Type in the amount of "Hours" or "Days" into the field, or use the up and down arrows on the right side of the amount field to select "Hours" or "Days."
Note: The Task timing is based on the previous action added. For example, if you set an Automation Email going out the day before and want the Task to trigger two days after, you'd select "2 Days."
Step 5
If you have more than one task within the Automation without a "Task Complete" Action tied to it, you can now choose the task for which you want to apply the "Edit Task" action.
If you have multiple tasks that do not have an associated "Task Complete" action, you can use the dropdown menu to click and select the specific task to which you want to assign the "Edit Task" action.
*Note: You can apply the "Edit Task" Action to any Task within the Automation that does not have a "Task Complete" action associated with it.
Step 6
If needed, update the task type by clicking on the "corresponding icon" to select the Task type.
Options include;
General
General reminder to yourself to do something to follow up with the Contact
Call
Remind yourself to Call the Contact
Meeting
Prompt to set up a meeting with the Contact
Email
Remind yourself to write a manual email to the Contact, aside from the running Automation.
Text
Remember to write a manual text to the Contact besides the running Automation.
Step 7
If necessary, update the task note to remind yourself of the task and its purpose.
Step 8
Finally, you can edit and update the Task Time. There are two choices to set the Task Time; "Set Date" or "Set Duration."
Set Date
"Set Date" allows you to choose a specific "Complete By" date and time for this task. The second option, "Set Duration," is more commonly used.
Set Duration
You can choose an "Hour" or "Day" of the "Time Until Task is Due."
Be sure to click the bubble on "Hours" or "Days" to set the correct timing for the Task action.
Type in the amount of "Hours" or "Days" into the field, or use the up and down arrows on the right side of the amount field to select "Hours" or "Days."
Step 8
Click the blue "Insert" button at the bottom of the Task Action to save the New Task to this Automation or click "Close" to abandon the New Task being added.
Step 9
You will see a green notification stating "last saved" at the bottom right corner to confirm that the Automation has been updated.
